Creating new users
To create new users, you need to be assigned to the Administrator role.
User Management is available from the Settings menu in the left hand side panel
Press the New User button...

Fill in the user details as required

When you press Add, an invitation email will be sent to the user:

Add Roles
Once a user has been created you can now optionally enable roles, such as the ability to create new reports for themselves or their team, or to import data like new ILRs or structure files. To do this click on the user in the users list to open their details, then find the Roles section as shown:

Click on the Roles edit button to add or edit roles for the user:

Here we have added the Report Manager role to the user. The roles available are:
- Report Manager - create new reports and save them for their own use or members of a Team
- Import Manager - import files such as ILR, structure files or linked data files
- Administrator - the above two roles plus create/edit/delete users
Assign Structure
When initially created users are assigned to a default top-level structure, 'All Structures', this means that any reports they view or data elsewhere in the Dashboard or Spotlight screens includes enrolments from your entire structure. However, for convenience you may wish to assign your own user or others to a particular structure, eg a department or curriculum area.
Assigning structure has the following effects:
- Dashboard will default to show data for that structure
- Spotlight screen will have a 'My Structure' option showing that structure and its sub-structure
- Reports which apply the derived Structure filter 'My Structure' will only show data comprising enrolments from within that structure.
For Lite users who can only access the Spotlight screen they will have all data filtered to just their assigned structure and any courses within it.
Edit the assigned structure using the button on the User Details screen as shown:

On the dialog which opens you can now select a structure to assign the user to.

Locking Structure
For users who are not admin users, ie do not have any roles assigned, there is an extra option in the above dialog, a switch to set if that assigned structure is locked down. Essentially you would do this if you do not want the user to be allowed to view data from outside of their assigned structure at all.

Once locked the only data they see in the Dashboard and Spotlight screens is just for the assigned structure and they have no option to view data outside of that. In addition, any reports which they have been given access to will automatically have a Structure filter applied such that again the data they see will only relate to enrolments inside their assigned and locked structure.
